A mention means the answer names your brand. A recommendation means it actively presents your brand as a suitable option. A citation means a page or domain appears as supporting source evidence.

Suppose you ask ChatGPT once, “What is the best project-management software?” and your company is missing. That is an observation. It does not prove ChatGPT cannot access your site, your positioning is unclear, competitors have stronger evidence, or you need a new page.
OpenAI says ChatGPT Search can search automatically when current web information would help, and may use search providers and contextual information such as location. Results and citations can also be incomplete or incorrect.
A better diagnosis starts with several real buyer questions, such as:
- best project-management software for marketing agencies;
- project-management software for a five-person consultancy;
- alternatives to Product X for client-facing teams; and
- project-management software with client collaboration.
Then inspect repeated observations. Does your brand recur? Which competitors recur? Is it merely mentioned or recommended? Which sources appear? Does the pattern change by provider or market?

The buyer question may not actually fit your brand
Sometimes the right fix is nothing. If you sell accounting software for freelancers, your absence from “best enterprise ERP for multinational manufacturers” is not a meaningful ChatGPT visibility problem.
A competitor appearing does not automatically mean you should appear too. Ask whether a qualified buyer asking the question would genuinely consider your product. Check the requested job, audience, geography, commercial relevance, and whether the appearance would plausibly create value. If not, skip the opportunity.
ChatGPT may not be able to discover the relevant page
If the question matters, technical access is one of the clearest things you can test. OpenAI says public websites can appear in ChatGPT Search. To help content be discovered, surfaced, cited, and linked, make sure you are not blocking OAI-SearchBot.
Check whether the relevant page is public, returns a successful response, is available to OAI-SearchBot, exposes important content without authentication, and is not blocked by bot management, a firewall, or an application layer.

OpenAI documents the two crawlers separately. Blocking GPTBot is not the same as blocking ChatGPT Search discovery.
The opposite boundary matters too: crawler access creates eligibility, not recommendation. Allowing OAI-SearchBot does not guarantee that ChatGPT will mention your brand, cite the page, recommend the product, or place it in a particular position. It removes an access problem.
What about noindex?
OpenAI discusses noindex as a narrow control: a blocked URL may sometimes still have its link or title surfaced if OpenAI finds it elsewhere, and noindex can prevent that when the crawler can access the page to read the tag. Do not reinterpret this as “removing noindex makes a brand rank in ChatGPT.” Those are different claims.
Your website may not clearly serve the buyer need
A page can be crawlable and still be the wrong page for the question. A SaaS company may claim to serve agencies but offer only a generic homepage, a short feature list, no useful agency page, little explanation of client workflows, and weak proof for that audience. A competitor may simply explain who it serves, how the workflow works, relevant capabilities, limitations, examples, and implementation more clearly.
Ask whether a page genuinely serves the buyer need, whether important information is buried elsewhere, whether an existing page is weak or outdated, and whether the question deserves a dedicated page at all.

Your business or product context may be unclear
You do not need a hypothetical “ChatGPT entity score” to spot this issue. Look for observable inconsistencies: product names changing across pages, an unclear primary offer, outdated positioning, audiences changing from page to page, important use cases never stated clearly, or contradictory pricing and packaging.

Competitors may be consistently better represented
Repeated observations may show Competitor A in eight answers, Competitor B in six, Competitor C in five, and your brand in one. That identifies where to investigate; it does not explain the mechanism.
Ask whether these are genuine competitors, which questions favor them, whether they are recommended or merely named, whether the pattern exists only in ChatGPT, which domains support the answers, and whether competitor-owned pages or third-party publications are doing most of the work.

Third-party sources may be shaping the category
A competitor appearing does not necessarily mean its own website is the most important evidence. The source layer may repeatedly contain publishers, review platforms, directories, marketplaces, communities, and industry roundups.

Investigate reputable category listings, reviews, marketplaces, relevant publications, partnerships, and communities that real buyers use. Your site may be cited while your brand is not mentioned
This is source visibility without visible brand presence. Your guide may appear as a cited source for a category question while ChatGPT never names your company. You are not completely absent; the missing signal is brand presence.
Inspect which page is cited, what fact or topic it supports, whether the product legitimately belongs in the answer, whether competitors are named, and whether the pattern repeats. Do not assume that inserting more product references will make ChatGPT mention the brand; that causal relationship is not established.

Your brand may be mentioned but not recommended
This is not invisibility. The brand is already present; the missing signal is recommendation visibility.
For example, an answer may list your brand with others, then call another product the strongest fit for small agencies. Investigate whether your product actually fits the use case, whether the fit is clearly explained and proven, whether competitors are genuinely stronger, whether external reviews consistently favor them, or whether a key capability is missing. A crawl change will not solve a real product-fit difference.
ChatGPT may be the outlier
If your brand appears in Gemini and Google AI but rarely in ChatGPT, treat that as a provider-specific pattern. Platforms can surface different brands, sources, answer structures, and recommendations. If ChatGPT alone is weak, investigate ChatGPT; if the brand is missing everywhere, the problem may be broader.
You may be reacting to normal answer variation
AI-generated answers are not static search rankings. What not to do when your brand is missing
- Do not create one article per lost prompt. Several buyer questions can belong to the same strong page.
- Do not stuff your brand name into pages. OpenAI does not document a rule that brand-name repetition increases recommendations.
- Do not add schema expecting an automatic recommendation. Use structured data for supported purposes, not as an invented ChatGPT ranking hack.
